We only ask for information that helps us understand your roofing needs, respond properly and provide our services.

Cloud Roofing Ltd is responsible for the information you give us. We use it to assess enquiries, arrange inspections or calls, prepare reports and quotes, and deliver roofing services. We do not sell your personal information.

2. Information we collect

Depending on how you contact us and the service you need, we may collect:

  • your name, email address, telephone number and preferred contact method;
  • the property address, postcode and information about your relationship to the property;
  • details of the roof, problem, project, access, hazards and preferred appointment times;
  • photos, videos, documents or previous reports you choose to upload;
  • messages, call notes, quotes, reports, appointments and records of work;
  • basic technical information generated when you use our online form, such as device, browser and submission data.

Please do not include unnecessary personal information in photos, uploads or free-text answers.

You do not have to give us personal information, but without the details marked as required we may not be able to assess your enquiry or provide the requested service. We do not make decisions about you using solely automated processing that produces legal or similarly significant effects.

4. Who we share information with

We share information only where needed with trusted service providers, including form and appointment platforms (such as Typeform and Calendly), email and IT providers, WhatsApp where you choose that contact method, payment or accounting providers, and roofing contractors or professional advisers involved in your enquiry or work. We may also disclose information where required by law, an insurer, a regulator or a court.

Some providers may process information outside the UK. Where this happens, we require an appropriate legal safeguard, such as UK adequacy regulations or approved contractual protections.

We do not sell your personal information.

5. How long we keep it

We keep personal information only for as long as reasonably necessary:

  • enquiries that do not become customers: normally up to 24 months after the last contact;
  • customer, job, invoice and payment records: normally six years after the relevant financial year or the end of our relationship;
  • records needed for a complaint, insurance matter or legal claim: for as long as the matter and any applicable claim period require;
  • marketing preferences: until you opt out or the information is no longer useful.

We may keep information for longer where the law requires it. We then delete or anonymise it securely.

6. How we protect it

We use reasonable organisational and technical measures to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people who need the information for their work. No online service is completely risk-free, but we review the safeguards used by our providers.

7. Your data protection rights

Depending on the circumstances, you may have the right to ask us for a copy of your information; correct it; delete it; restrict how we use it; transfer it; or object to our use of it. Where we rely on consent, you can withdraw that consent at any time without affecting earlier lawful use.

Your right to object

You can object to processing based on our legitimate interests. You can always object to direct marketing, and we will stop using your information for that purpose.

8. Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office (ICO) through ico.org.uk or by calling 0303 123 1113.

We may update this policy when our services, suppliers or legal obligations change. The date at the top shows when it was last revised.
